What does a lead capture system cost in the UK?

    8 min readUpdated 21/09/2026

    The short answer

A working lead capture system in the UK costs between £3,000 and £25,000 depending on how much happens after the form is submitted. A well-built form feeding a CRM with instant acknowledgement and routing sits around £3,000 to £8,000. Add qualification, automated follow-up sequences, call tracking and source attribution and you are in the £8,000 to £25,000 range. The value is almost never in the form itself — it is in what happens in the first five minutes afterwards.

    Indicative price ranges

    Capture and route

    £3,000 – £8,000

Forms designed for completion, spam protection, instant acknowledgement to the enquirer, notification and routing to the right person, and every enquiry stored in one place rather than an inbox.

    Capture and convert

    £8,000 – £18,000

Qualification questions that score the enquiry, automated multi-step follow-up, reminders when nobody has responded, and reporting on response time and conversion by source.

    Full attribution

    £18,000 – £25,000+

Call tracking, first-touch and last-touch source attribution, integration with advertising platforms, and revenue traced back to the channel that produced it.

These are indicative UK ranges based on projects we have actually delivered. Scope drives the number, not the sales conversation — we quote a fixed price after a scoping session, and we will tell you if an off-the-shelf tool is the cheaper answer.

    Typical timescales

    1. 3–5 days

      Audit of current enquiries

Where enquiries arrive now, who sees them, how fast they are answered and how many are never answered at all.

    2. 1–2 weeks

      Design

Form structure, qualification logic, routing rules and the follow-up sequence.

    3. 2–5 weeks

      Build and integration

Connected to your CRM, email and reporting, with tracking in place from day one.

    4. Ongoing

      Tuning

Response times and drop-off points reviewed against real traffic and adjusted.

    Who this suits

    • Businesses where enquiries arrive in a shared inbox and nobody can say how many were answered.
    • Companies spending on advertising without knowing which channel produces actual customers.
    • Teams whose response time is the reason they lose work to a competitor.
    • Any business with more than one person who might pick up an enquiry.

    Who it does not suit

    • Businesses receiving a handful of enquiries a month that one person reliably handles.
    • Companies with no CRM or system of record — build that first or the leads have nowhere to live.
    • Anyone hoping a form will fix a traffic problem. Capture improves conversion, not demand.

    What actually drives the cost

    Number of entry points

One contact form is simple. Forms, live chat, phone, WhatsApp and social messages all feeding one place is an integration project.

    Qualification logic

Scoring and branching questions that route by service, value or region add design and testing time.

    Follow-up depth

One acknowledgement email is cheap. A conditional sequence that stops when someone replies is not.

    Attribution requirements

Tracing an enquiry back to a keyword or campaign needs call tracking and consent-compliant analytics.

    CRM condition

A tidy CRM accepts leads easily. An unstructured one has to be reorganised first.

The form is the cheap part

Most businesses that ask for a lead capture system already have forms. What they do not have is certainty that every submission was seen, answered within a sensible window, and recorded somewhere a manager can count it.

That is the actual build: a single place every enquiry lands regardless of how it arrived, a rule deciding who owns it, an acknowledgement that goes out immediately, and an alert when nobody has responded.

    Speed is the whole game

The gap between a five-minute response and a next-day response is the difference between a conversation and a voicemail. Almost every improvement we make to a capture system is really an improvement to response time — routing to a person rather than a mailbox, alerting on a phone rather than in an email client, and chasing automatically when a human forgets.

Measure what you cannot currently see

Once every enquiry is captured in one system, three numbers become available that most businesses have never had: how many enquiries arrive, how quickly each is answered, and which source produced the ones that became customers. Those numbers usually change where the marketing budget goes within a quarter.

    Where this sits

A capture system is the front end of a CRM, not a replacement for one. If you do not yet have a system of record, read how much a bespoke CRM costs first — and if your website and CRM are currently separate things, running them as one system is usually the cheaper route.

How we worked these numbers out

The price bands and timescales on this page are first-party figures taken from projects The Digital Hub has quoted and delivered for UK clients since 2020, not from third-party survey data. Ranges are rounded and exclude VAT. They are reviewed at least every six months and updated when our own delivered costs move. Where a figure depends on a third-party licence or hosting cost, that cost is named in the text so you can check it yourself.

    Common questions

Can we not just use the form builder in our website platform?

For low volumes, yes. The limits show up when you need routing by service or region, automated chasing, or any reporting beyond a submission count.

How fast should we respond to an enquiry?

As close to immediately as your team can sustain. The realistic target for most UK SMEs is an automatic acknowledgement within seconds and a human reply within the working hour.

Will this work with our existing CRM?

Usually. Mainstream CRMs integrate cleanly. Older or in-house systems may need a custom connector, and that is the main thing that moves the price.

Does it handle phone enquiries too?

With call tracking, yes — calls are logged against the same records and the same source attribution, so the phone stops being invisible in your reporting.

    What ongoing costs are there?

Hosting and email delivery are modest, typically under £50 a month. Call tracking numbers and advertising integrations carry their own third-party fees, which we name in the quote.
