How much does AI automation cost for a UK business?
The short answer
Most UK businesses spend between £8,000 and £30,000 on their first meaningful AI automation project, with single-process builds starting around £4,000 and multi-department programmes running past £60,000. Running costs are usually £50 to £600 a month depending on volume and hosting. The cost is driven by how many systems the automation has to touch and how tidy the data in them already is.

What actually drives the cost
Number of systems touched
Two well-documented systems with modern APIs is straightforward. A legacy database with no API is where budgets go.
Accuracy requirement
Drafting for human approval is far cheaper than acting unsupervised. The last few percentage points of reliability cost the most.
Data quality
Inconsistent formats, duplicates and free-text fields all have to be handled before anything can be automated reliably.
Write access
Reading is one risk profile. Creating invoices, sending emails or updating records on your behalf needs far more guardrail and audit work.
Volume
Model and infrastructure running costs scale with usage, so high-throughput automation carries a real monthly figure.
Where the money actually goes
People expect the AI to be the expensive part. It rarely is. The cost sits in the plumbing: getting clean data out of the systems you already run, deciding what happens when the automation is not confident, and proving it behaves before it is allowed near anything that matters.
That is also why a quote without a process audit is guesswork. Two businesses can describe the same automation and be a factor of four apart on price purely because one has a tidy system of record and the other has eleven years of spreadsheets.
The question worth asking first
Not "what could we automate?" but "what do we do most often, the same way, that nobody enjoys?" Those tasks pay back quickly and carry low risk. Judgement-heavy work usually should not be automated at all — though drafting the first version of it often should.
Running costs
Budget £50 to £600 a month covering hosting, model usage and monitoring. Volume drives that number more than complexity does. What is the smallest sensible AI automation project?
Around £4,000, covering one well-defined process end to end. Below that the audit and testing overhead outweighs the saving, and we would usually suggest a configuration change to an existing tool instead.
Will it replace staff?
In our experience it removes the repetitive part of a role rather than the role. The realistic outcome is the same team handling more work without extra hires.
How accurate is it?
It depends on the task and the review step. Automation that drafts for human approval can be deployed at far lower accuracy than automation acting alone, which is why we start there and only remove the human once the error rate justifies it.
Do we own the automation?
Yes. The code, the rules and the hosting accounts are yours, and your team is trained to adjust them.
What ongoing cost should we plan for?
